About the Role
We are seeking a reliable and detail-oriented Administrative Assistant to join our team in a full-time, in-office position. This is a vital role that supports both field and sales operations in our construction-based environment.
Key Responsibilities

Answer incoming calls professionally

Schedule and coordinate construction jobs

Communicate with the sales team regarding job submissions

Audit contracts and documentation for accuracy

Coordinate with field operations to assign crews
-
Communicate with construction crews and customers for job updates
-
Perform daily data entry, file management, and digitization
-
Pull and close permits as required
-
Maintain current city registrations
-
Handle invoicing, filing, copying, and other clerical tasks
-
Use strong communication, organization, and time management skills

Complete other duties as assigned
Qualifications & Skills

Prior experience in office administration or customer service (minimum 2 years)

Computer proficiency (MS Word, Excel, Outlook)

Ability to multitask and prioritize workload effectively

Self-motivated and able to work under pressure

Strong attention to detail with excellent verbal and written communication skills
Preferred (but not required):

Construction scheduling experience

Experience with scanning software

Plumbing dispatch, permitting, or engineering background

Some college or technical training
